1. Scope

WHOSiFY Group Limited (“WHOSiFY”, “we”, “us” or “our”) operates whosify.io. This policy explains how we handle personal data relating to our website and online store, orders, business enquiries, demo requests and associated customer support.

This is the online-store privacy policy. It does not replace service-specific privacy notices for the WHOSiFY App, e-profiles, corporate account management or event services.

2. Information we collect and why

Depending on your interaction with us, we collect:
- Your name, company, email address and telephone number to respond to enquiries, arrange demonstrations and provide support.
- Billing and delivery details, order information, payment status and transaction references to process purchases, deliveries, returns and refunds.
- Names, contact details, logos, images and other artwork you submit for card design and printing, to fulfil your order.
- Correspondence and website usage data, such as device and browser information, IP addresses, pages visited and referral sources, to operate, protect and improve the website and understand its performance.

Payment details are processed through the payment services available at checkout. Please do not send payment-card details to us by email or WhatsApp.

You may choose whether to provide personal data. Without information necessary to process an order or enquiry, we may be unable to provide the requested service. Please only submit other people’s personal data where you have an appropriate basis to do so.

3. Cookies and analytics

We use cookies and similar technologies for website functions, shopping-cart operations and analytics. We use Google Analytics 4 to understand traffic sources, website usage and performance. Google may process device, browser and interaction information in providing this service.

You can manage cookies through your browser and, where available, the website’s privacy controls. Blocking some cookies may affect website functions. Where applicable law requires consent for particular tracking, that consent must be obtained separately; this policy is not itself a consent request.

4. Service providers and overseas processing

We share relevant information as necessary with Shopify, payment providers, printing and fulfilment partners, delivery providers, and IT, hosting, analytics and customer-support providers for the purposes described above. We may also disclose information where required by law or reasonably necessary to handle disputes or protect legal rights, including to relevant authorities and professional advisers.

Shopify hosts our store and processes information when you browse or purchase from it. Shopify and other providers may process or store information outside Hong Kong. We take reasonably practicable contractual or other measures to protect personal data handled by service providers.

5. Marketing choices

Where you have given the required consent, we may use your name and contact details to send information about WHOSiFY digital business cards, corporate solutions and related events or services.

You can stop receiving marketing at any time, free of charge, through the unsubscribe option provided or by contacting info@whosify.io or +852 6662 3489. This does not stop necessary communications about your orders or enquiries. Making a purchase or submitting an enquiry does not, by itself, constitute marketing consent.

6. Retention, security and your rights

We retain personal data only for as long as necessary for the purposes described here and applicable legal, accounting and record-keeping requirements. We take reasonably practicable steps to safeguard it against unauthorised access, loss or misuse, and to erase data no longer required, subject to applicable law. No online service can guarantee absolute security.

You may request access to or correction of personal data we hold about you. You may also contact us about deletion or any other rights available under applicable law. We may reasonably verify your identity before handling a request and will explain any applicable limitations.
